Recent OWL Enhancements

 OWL
Upgrades

In the ongoing effort to enhance the user experience, DTNA is pleased to announce many recent
upgrades to OWL, including several changes implemented as a result of Joint Application Development
(JAD) feedback. The enhancements address many topics including the Credit Memo Report, a Send
for Corrections button, Standard Diagnostic labor, towing/roadside assistance invoices, Pre-Delivery
Inspection (PDI) claims, Replacement Part claims, and vehicle identification number (VIN) adjustments.
Unless otherwise noted, the adjustments are currently available in OWL.

 Update #1:
Credit
Memo
Changes

Effective for Credit Memos generated for the pay cycle ending April 25, 2015, reports will be modified
to clarify when DTNA has:
• Reimbursed for more or less than the claimed amount
• Charged back a claim
When service locations are reimbursed for less than the claimed amount, in the Difference column in
the Dealer Claim Details section, the paid amount will display in red as a negative number in
parentheses.

Additionally, to avoid confusion about short payments, when service locations are reimbursed for more
than the claimed amount, the paid amount will display as a positive number.

When the Difference column totals are provided at the end of the Dealer Claim Details section, the
positive and negative amounts will calculate and display accordingly.

In the Dealer Chargeback and Reversal Details section of the Credit Memo Report, when service
locations are charged back, the charged back amount(s) will display in parentheses to denote the
negative amount(s).

Please note that reversal detail displays will remain unchanged. To generate the Credit Memo Report,
go to: OWL Home > Reports > WO003 - Credit Memo.
 Update #2:
Send for
Corrections
Button
Created

At the JAD’s request, DTNA created the Send for Corrections button for service locations to retrieve
any submitted claim, regardless of claim type, prior to the Saturday pay cycle. The new button
provides more flexibility regarding claim management by allowing service locations the ability to edit a
successfully submitted claim before reimbursement.

To locate a desired claim, use any of OWL’s standard search features; retrieved claims will return in
Corrections Needed status. After making the necessary changes, use the Submit link to simultaneously
save and submit the claim.
Note: After revising the claim but prior to submitting the edited claim, users must describe the
reason(s) for the claim retrieval in the Comments field on the Claim tab. The Comments field and the
Submit link are connected; therefore, enter comments only after all revisions have been made and just
before claim re-submission.

 Update #3:
Standard
Diagnostic
Labor
Added

As a result of a JAD request, DTNA created a new labor type, Standard Diagnostic, for service locations
to utilize when standard diagnostic times (SDTs) are added to a claim. The Standard Diagnostic labor
operation is contained in the Labor Type drop down menu on the Labor tab. Similar to other labor
types, time claimed in excess of an SDT must be supported in the claim story.

 Update #4:
Towing/
Road Call
Dates

For claims that include towing or road call charges, at the request of the JAD, DTNA adjusted how OWL
accepts invoice date entry. For these two (2) expense types only, users can now enter an invoice date
for a towing or roadside charge that is prior to the failure date.

 Update #5:
PDI Claims

DTNA modified OWL so that when a PDI claim is charged back, the new PDI claim that is created for the
same unit will no longer be blocked and instead, will submit successfully.

 Update #6:
Rep. Part
Claims

If a user creates a Replacement Part claim but does not add labor, when the claim is saved and/or
submitted, OWL will generate an error message advising the user to create a Misc Replacements Part
claim, which does not require labor. If a Replacement Part claim is the desired claim type, to
successfully transmit to DTNA, labor must be added.

 Update #7:
VIN
Adjustment

When a claim is submitted with a particular VIN but the failure is warrantable under a related VIN, OWL
will automatically adjust the claimed VIN to the covered VIN. This VIN adjustment occurs for Thomas
Built Bus (TBB) bodies combined with chassis that are either TBB or Freightliner Custom Chassis
Corporation (FCCC). OWL generates message to alert users that the VIN switch occurred.
