INTRODUCTION TO THE UPDATED WORK LIST
NOTE: The new and updated functionality is introduced June 15th 2020. (Not all feature may be
applicable in all markets).
With the newly improved work list functionality in VIDA, service pre-planning in your workshop is
made easier, and the features will make your daily work much more effective.
The new work list functionality:

Presents auto-populated search results (presented as you type). For example, when typing “7” in
the CSC field, every CSC code with a “7” in it is searched. When typing “brake pad”, the system
searches all CSCs with the words “brake” and “pad”.
Displays your own work lists and those at the same dealership (same Partner ID).
Continuously updated and saved in the background, so there is no need to save your work. This also
makes it possible for two technicians to work with the same work list simultaneously.
Possible to order software directly from the same view.
Introduces the clickable fault tracing/diagnostics icon for CSCs:
Direct access to packages by clicking the expand icon (+) in the list for Operations and Packages.
Three different statuses:
– Draft – Work list is created with added content.
– Pre-planned – Work list is sent to DMS.
– Completed – All rows in the work list are done and the work list is locked for update.
Produced and printed in the USA and available as an electronic document.

WORK LIST FEATURES AND ICONS
Overall components

In the updated work list view, these are the most basic features:
1. Clickable work list icon.
2. When a CSC is searched a tool
Icon is shown if there are related operations to the given CSC (if
that setting has been switched to On in the settings menu). For further details see chapter 5; Adding
Customer Symptom Codes
3. Clickable fault tracing/diagnostics Icon
4. Clickable links to reference documents, when applicable.
5. View descriptions (comments) side-by-side.
6. View detailed descriptions under each title – easier to directly make the correct selection.
7. If you have access to packages, they are now directly accessed by clicking the expand icon (+) in the
list for operations and packages, and can be added to the work list from that view. When adding a
software to the work list, it will be automatically available in the Software Installation tab.
8. The work list can be deleted by clicking the bin icon ( ) (still in Draft status)

THE UPDATED WORK LIST VIEW
The work list summary view, in the Planning & Diagnostics tab, is where all the workshop’s planning
details are presented.
The vehicles’ work lists and work orders for all technicians in the same workshop are presented in the
Work List tab.
NOTE: Work lists are auto-saved by the system, therefore there is not a “Save Button”.
Planning a service or a repair job
To plan a service or a repair job, go to Search Vehicle in the top menu of VIDA.
When clicking Select, you are moved to the Planning & Diagnostics view where all the workshop
planning details for the vehicle are presented.

Lists view
In the Lists view, under Work Lists, you are able to create a completely new work list.
All work lists for a selected vehicle are displayed in this view.
Under the Parts Lists tab, you are also able to create a parts list for separate part order.

A work list for a connected vehicle is always available through a link in the top right corner of VIDA
(highlighted in red in the image below).

An active list (work list or parts list) can have one of the following statuses:
Icon

Description
The work list is in Draft mode and has not been sent to the DMS system.
The work list is Pre-planned, meaning it is finished in VIDA but can still be updated. It has been sent to
the DMS.

Creating a new work list
To create a new work list, click Lists in the left-hand menu of VIDA, the Work List view is shown. Then
click the Create work list button in the top left corner of the Work List view.

You can remove a work list by clicking the X in the top right corner of the view (highlighted in red in

SERVICE PROGRAMS
Adding a service program
To add a service program, click the Enter vehicle details button, then enter mileage and fill in the
planned service date. Click Continue and select service program.
The list now shows what is included in the service, and additional service steps that need to be agreed
with the customer. Service steps are added in the far right column. To open a service checklist,
click on .

Opening a service checklist
To open up a service checklist, click on the list icon under Checklist.
Service steps in the checklist can be included or excluded directly on screen, using the switch button ( )
in the far right column (highlighted in the image below). Markets determine what’s included in Factory
Scheduled Maintenance (See applicable Service Manager Bulletin).

You are also able to add remarks, and add thread depths data for each tire. When you select print, all
edits and remarks will appear. Please note that any added remarks are not saved after being printed and
closed.

Print service checklist
You can easily print a service checklist by clicking the print icon in the top right corner (see image
below). All steps in the service checklist are tagged as OK per default.

ADDING CUSTOMER SYMPTOM CODES
Customer Symptom Codes (CSCs) are classifications of customer complaints related to the vehicle.
Click Add and search for symptoms, or type the CSC code directly. In the example below, “brake light”
is searched by first typing “brake” in the search field.

The stethoscope icon
to the far right in the list indicates fault tracing is available. Clicking on the
Icon takes you directly to fault tracing.
Automatically adding related operations to a CSC
For related operations to automatically appear in the list for Operations and Packages, you need to select
this option in the Miscellaneous menu:

Click the menu in the top right corner of VIDA, then go to Manage Settings.
Click Operations and Packages.
At the option Automatically add related operations for each added CSC, set the switch to On.
Finish by clicking Save.

You will also have the
Icon available at the CSC for selectin of associated operation.
If you do not apply these settings you have to add operations manually to the list.

ADDING OPERATIONS AND PACKAGES
Click Add and search for operations and packages that your vehicle needs, and add it to your work list.
In the example below, “brake fluid” is searched in the search field. To expand and view the package for
the operation, click the plus sign in the left column.
If you already know the operation number you can search for it directly, for example by typing “51040”
in the search field.

ADDING PARTS AND SOFTWARE
Click Add and search for parts or software that your vehicle needs, and add it to your work list. In the
example below, “brake disc” is searched in the search field.

ADDING QUALITY BULLETIN (QB)
NOTE: This function is only applicable for Authorized Volvo Retailers.
QB pop-up window
When there are mandatory claims that need to be performed on the vehicle, a pop-up window is
displayed when the vehicle is profiled/connected with VIN.

The claim types are selected per default. By clicking Add, they are automatically added to the work list.
Claim type indicator
The claim type indicator in the menu to the left (see image below) links to all claims that are related to
the vehicle. The number is shown until the claims have been processed.

Adding QB to the work list
If a vehicle has an open QB, a pop-up appears with more information. Click the Add button to create a
new work list, where the claim is added under the section Warranty Claims.

If you create a work list for a vehicle with an open QB, it is automatically added to the list. It is possible
to snooze the claims, which means that they are postponed.
The tabs Active Claims and Claim History
In the Active Claims tab, you can find all mandatory and optional claims. The Claim History tab
contains historical claims (both performed and expired).

NOTE: QB’s (claim types) are only marked as completed once the Volvo retailer summits a warranty
claim and 48 hours has elapsed – It is always important to ask the customer if they were recently at a
Volvo retailer having work done, as the QB actions may have been completed and not reflected yet in the
VIDA display.
